The end of the semester and the beginning of the next...
This semester is winding down and we only have this week together. I would first like to thank you all for a good semester, it has been a pleasure getting to know you and seeing you work this fall. I would also like to say thank you to Lizzette who unfortunately will not be returning next semester.
Work for the Spring semester will start on Monday, January 28th. Over January break, I will be emailing you all to remind you to send me your schedule for the spring semester. If you have your schedule now, please send it to rsnyder@educ.umass.edu. I expect you all to send me your schedule BY Sunday, January 20th at midnight. I will be putting together a schedule for the Spring and emailing it to you by Thursday, January 24th. If you do not email me your schedule, I can not guarantee a significant amount of shifts for you.
Please do not forget to email me your schedule!!!
Just a heads up for next semester, things will be changing in the office. I am planning on having fewer ECOs on at a time and creating set hours of availability for Event Development. This will ensure that all ECOs get a chance to do event development! Within the first week of work, I expect the staff to get together for a Spring semester information/training session.
I wish you all the best of luck with finals and safe travels home! Have a fun holiday season and I look foward to seeing you all in the Spring!
Best,
Becca

Phone numbers
I have two requests about phone numbers. You probably know Dan Saunders is out for the rest of the semester so I am going to (belatedly) forward his phone to 5-3600. Please refer any of his work calls to Shaun, Lloyd or Erin. (I'll be gone next week). If he gets personal calls (probably not) just say he will be out for the rest of the semester.
Judy has moved, as you know, and you guys have her new number. But some people are still calling her old number, so I'm going to forward it to you also.
Thanks, Phee
P.S. Have fun at lunch on Sunday and have a great break!

If the group has met at least one requirement you can package all the mail with a rubberband and treat it like a package.
Thanks, Phee

Need some extra cash for the holidays?
Holiday Party
Please join all the ECOs and Becca at Esselon Cafe for the end of the semester get-together! Take a break from studying for finals! Hope to see you all there!!!!!
PS- If anyone needs a ride please let me know or work with other ECOs to carpool!
Evaluations
Dear Ecos,
In each of your mailboxes you will find your employee self-evaluation form. Please fill it out before Monday, December 10th. The process for the evaluation process is as follows:
Each student employee will receive a copy of the evaluation form to fill out as a self appraisal. The supervisor will also fill one employee evaluation for each student. After exchanging evaluation forms, the supervisor and student will meet to discuss the evaluations.
The evaluation process will take place Monday, December 10th through Friday, December 14th during a designated shift.
Please know that this experience is not supposed to be scary. I want it to be a time where we can be open and honest with each other about what we expect of each other in the office. This is a great learning experience for all of us and I hope that these evaluations will help us in our own development.
SUPERVISOR EVALUATION
In addition, I have prepared a confidential supervisor evaluation to be done online prior to the evaluation meeting. It can be accessed here: http://www.zoomerang.com/survey.zgi?p=WEB22789FD8PXR. I chose for it to be confidential so you all feel comfortable being open and honest about how I am doing as your supervisor and make suggestions to how I can improve for next semester.
Please complete the supervisor evaluation online by the end of this week!!!

playing music
I want to address an issue that has come up several times and is, I'm sure, difficult for all of you. Colette has asked that you not play music while she is working. I do not necessarily agree with her and believe that we need to work out how to share the space. She does need quiet to concentrate on her work, but the Resource Center should be an upbeat, busy space that makes students want to come in and use it. Since these are two opposing needs, I plan to talk to Byron about it. I don't have the authority to resolve this on my own. In the meantime, I am asking you all to not play music when Colette is in the office. Playing quietly is not sufficient, because it apparently still disturbs her concentration. So, at least until the end of the semester, let's try to accommodate Colette's needs.
On a related issue: Byron is considering having the Resource Center share space with UPC (with Colette moving out, of coruse). This is only a thought right now, but I wanted to have you start thinking about it because Erin has talked to UPC, so I imagine you may be hearing about it. Your thoughts on this are welcome, although the decision is up to Byron.
Have a nice day and keep up the good work! Phee

February events
In case no one thought to tell you, all February events must be planned with their advisor by December 20. What that means is that they must have an initial meeting witht the advisor before that date and everything that takes time has to be initiated - grants, contracts, food waiver requests, agreement for services etc by Dec. 20. Little things can be done in February.
I see that there are quite a few ECO events on the schedule for February, so can you make an extra push to get those students in to see you in the next 3 weeks? Also, keep in mind that most people, includng you, won't be thinking much about events during finals.
Thanks, Phee

FYI
I was just down at the Cashier's office and heard some feedback about
the way that RSOs are filling out Deposit slips. I wanted to let you
know this information since most of the RSOs fill these out downstairs.
The first thing is to make sure that when you are refilling the deposit
slip folder, make sure you refill with the blank deposit slips and not
the telecomm slips, which already have the CSD information on them.
Second, make sure that RSOs fill in the Account Codes section and they
stamp the back of their checks before they head down to the Cashier's
office. Of course, you don't always talk to the RSOs filling these out,
but if you do talk to them, just checking over their work and being
cognizant of these things would be appreciated by the Cashier's office.

Wednesday
Please be sure to post on these blogs when you work! I think I am going to change that for next semester, but for the remaining weeks I will need you to post.
Holiday party thoughts? Is it going to work out with everyone's schedule? Are there dates and times that work for everyone?
Keep plugging away these last few weeks! You can do it!!!

RSOOO
We've scheduled an RSOOO on December 11 from 7:00 pm - 10:00 pm in the Campus Center (room tba but they should check in at the Arcon Desk). People can sign up on line and I will also bring a sign up sheet down to you. This is going to be geared to new RSOs, but any officer from any RSO that needs training can attend.
There will also be two more RSOOOs in February, which you can tell people, but sign ups won't be ready for a while. They are Feb. 2, 1-4 and Feb. 5, 7-10.

FINALS WEEK WORK SCHEDULE!!!!
Please look at it at either the event development or reception desk!
If you cannot work those shifts given to you, please let me know ASAP!!!!!
Monday
I will be posting the work schedule for finals week today or tomorrow. Please take a look at it and let me know if things need to be changed!
Next week I will be putting evaluation forms in your mailbox to fill out for yourself. Also, the online evaluation for me will be put online and will be anonymous.
Good luck these last few weeks of school! It is going to be crazy, let me know if there is anything I can do to help you through it!

Time Sheets
HAVE A GREAT BREAK!!!
- Djade, can you stay until 3:30 on wednesday? That would be awesome because lawrence can't work his shift and elyse doesn't arrive until 3:30.
Monday
Try to stay sane!
Get your tasks done and feel free to work on homework in your down time.
Thursday, November 15, 2007
Thursday!
Hope you all are surviving these last weeks of the semester! I wanted to let you know that I am working hard on trying to make the task list you see to your right hyperlinked so it brings you to instructions on how to do the task. If you all would like to help me with this I would appreciate it!
Second, I am now working less with you all since you are doing such a good job! I am going to be spending a significant amount of time planning events with Melissa and Jordan for next semester. You will still see me in the office, but I trust that you are professional enough to hold down the fort without much supervision! This does not mean that the rules have changed and I still expect you to do your jobs and use good customer service with everyone that comes through our doors.
Have a great day!

Wednesday (AKA Monday)
- Next Wednesday (11/21), Kyle will be working 11:30-2:30 and Djade will be working an hour later from his normal shift, until 3:30. This is to cover Danielle.
- If you haven't done so, please email me your availability for exams. It's a crazy week, so let me know ONLY the times you want to work. Keep in mind your travels for the holidays and when you might be leaving!
- Lizzette is covering Elyse's shift on Friday.
You're doing great! Keep it up!!

E-mailing RSOs

Another week has gone by and you all are doing a great job staying attentive to customer's needs while it is extremely slow in the office! In addition to posting today, please be sure to do the following if you haven't already (I know, this is beating a dead horse):

-Start to brainstorm what you want to do for a holiday staff party. I think it would be nice if we all went out to dinner somewhere, so we could get off campus! Let me know what you think.
-If you are traveling away for thanksgiving break and are going to miss a shift, please let me know ASAP and find someone to cover!!!
-We are NOT open Monday. See you Tuesday and Wednesday is a Monday's class/work schedule!

-The Resource Room will be open over January Break, possibly with limited hours. In the next couple weeks I will be discussing with you what your plans are for that time and whether you would want to put in some hours and make some extra $$$.

Hello ECOs,
Hope you all had a good weekend! Please be sure to start the week off right by doing the daily tasks in the R.R. Be aware that the on-call schedule is Lloyd am, Phee pm, unless Phee is still out of the office.
Please check your mailbox. I have given you each a letter about mid-year evaluations that I will be doing during the last week of classes!
Enjoy your morning/afternoon!

TGIF
- First of all, you all are doing a good job with posting and letting me know what things are getting done! Things have slowed down a bit in the office now that activation forms have almost stopped coming in. However, event consulting has picked up! If you are bored, don't hesitate to ask myself, Phee, or another advisor for work!
- Remember that every person that walks into this office is a customer. Sometimes customers can be mean and let's show them that we are better than that by being SUPER friendly :)
- There is something on the reception desk that I need EVERY one of you to look at. I will put it in a folder with the label "To ECOs" on it. Please take time of of your day today and next week to complete the task inside (VERY IMPORTANT!!!)
- Don't forget to post!
- I'm really proud of you all and have been getting great comments about your work. Keep it up :)

I hope that everyone had a great Halloween last night!
I hope that you aren't crashing from all the sugar!
Please let me know what wonderful tasks you did today!
Hope you all enjoy your day!
Wednesday, October 31, 2007
Happy Halloween!!!
I'm back in the office after fighting off the dreaded pink eye and I appreciate all your hard work in the office while I was away! For today, please be sure to be as helpful to our customers as possible and do any daily tasks that need to be done!
AND DON'T FORGET...
ALWAYS post at the beginning, middle, or end of your shift!!!!! I need to know what you've done during your shift!!!

change in advisor on-call hours
I hope you're all doing well. I think you're all doing a great job! You probably don't need us as much as at first, but the advisors are still available for on call hours. But this week and next we are all going to be out for various reasons so we've adjusted the on call hours a bit. Here is the schedule for the next week and a half:
W Oct 31 Dan am, Shaun pm
Th Nov 1 Erin am, Phee pm
F Nov. 2 Shaun am, Phee pm
M Nov 5 Lloyd am, Phee pm
T Nov 6 Phee am, Erin pm
W Nov 7 Erin am, Lloyd pm
Th Nov 8 Erin am, Phee pm
F Nov 9 Lloyd am, Phee pm
After that we go back to the regular schedule, except that Phee and Shaun have traded Wednesday and Thursday afternoons permanently. Shaun on Wednesday and Phee on Thursday. I've asked all the advisors to put these changes on their schedules for you, so you should just have to look there to see who's on call.
One more thing that complicates all this. My daughter is about to have a baby and when she goes into labor I am going to leave for 3 days. At the end of this week you'll notice that I'm the only one who will be here. So if I"m gone too, you guys are on your own (sort of). If Becca is in, she can, of course, help with anything (including event advising- okay Becca?). If she isn't in, you can call Barbara with non-event questions or simple event questions. If you want to try doing event advising without any of us, go ahead, but don't send out the agreement for services until one of us is back to review it. Now's your chance to be the professionals we hired you to be.
Go team! Phee

Bulletin Board Refresher
Bulletin Boards
- The bulletin boards that you first encounter when walking down the hallway are for Agencies and Residence Life. These are NOT to be touched and you should NEVER post anything in them!!!
- The 2 in the middle are ONLY for campus departments. You should never be putting RSO flyers in them. You should only be posting things for campus departments.
- The last 5 boards are ONLY for RSOs. You should be posting ONLY RSO flyers. If a flyer is not from or about an RSO, DO NOT POST!
- When you look at flyers, if they are not RSO posters or campus department posters, we will not post them. Please be aware!
- One more thing...business flyers are to be brought to CD&C. Do not post.
- And...make sure not to overlap your posters on the boards!
Thursday, October 25th
**Jamie and Kyle: Please Note: Mark from Vocal Suspects will be coming TODAY at 4pm to pick up Mics in the closet. He has permission from Lloyd to do this.
A suspected explosive device has been found in Herter Hall. The area has been cordoned off, and the state police bomb squad is on the scene to evaluate. The campus will delay opening until 11 a.m., pending developments, and no classes will be held until at least that time. On-campus students should remain in or nearby their residence halls. Updates will be provided.

NEW SYSTEM (***PLEASE READ***)
- If you look on the right side of the blog you will see a list of daily tasks. Every shift you work, please work on completing unfinished tasks. To verify that you've done tasks, I need you to post a comment on Every day's blog that I will put up telling me which tasks you've done. Even if there are no tasks to do, please comment to tell me that there were no tasks to finish! This system is similar to the previous system, but I am not assigning tasks.
- Please note that if you do not post consistently there will be repercussions. However, I will inform you first of this and remind you to post before handing out any warnings.
- This system is temporary, I will be creating a much more efficient system this week and will inform you of the changes through email/mail/blog/notes.
We've been forwarding all emails about concerts and comedian to Lloyd for UPC, but the concert committee asked us to please forward those to them as well. That email is upc.concerts@yahoo.com. I have added them to the address book. Please keep forwarding them to Lloyd too. Thanks!

- Adding SR cards into system and adding to listserv.

Then, go into AllInfo and make sure that 1) their requirements are all checked off, 2)their information sheet is correct, and 3) they are unfrozen. Please make note of this on the 2-page checklist.

I will not be in this morning because I am a bit under the weather. However, this doesn't mean that things do not need to be done on time!!!!
-Please make sure you look at the desk assignment sheet at the receptionist desk to see which desk you are supposed to sit at for your shift. Then, please look below for tasks for each desk. Make sure after your shift you post a comment to let the others know what has been completed and what still needs to be done! I want EVERYONE working today to post a comment with what you did so I know that everyone was working hard and no one was slacking off :)
ALSO- Follow the link below to a meeting schedule. Once there, please put your availability for a meeting NEXT WEEK! (Include the times you are working as an ECO too, we might need to schedule it when you are working). Please note the only valid excuses to miss are serious illness, family emergency, and class. Other RSO business needs to be rescheduled around the meeting time.

RECEPTIONIST
*Remember that every morning you come in at 9am that you NEED to turn off the voicemail. If our customers can not reach us by phone, it becomes a major problem. If you don't know how, you just press the main lines at dial #2# for each one. I always like to call 5-3600 after from another phone to see if it rings!
*Barbara asked me to remind you all the ANY WB Mason packages addressed to her should NEVER be accepted by us. So, when WB Mason comes in (Usually a guy with a Red Sox hat on), please ask if any of the packages are for Barbara Paparazzo and if there are, make sure he brings those upstairs. The reason for this is because many times she needs to give him items for return and needs to talk to him frequently about orders she placed with them!
*Event though 10/15 has passed, we are and will still be accepting SR cards, so please urge frozen groups to turn them in!
*Respond to emails and voicemails. Make sure the check the email frequently, as we are getting signups for the treasurer workshop.
*If it hasn't been done yet, bring the broken space heater up to Barbara. It should be on the desk if it wasn't brought up.
*Make sure that the SRP on the old SR cards have been erased from all frozen RSOs.
*Do any filing of activation forms.
*If there are SR cards that are turned in, please make sure they are entered into AllInfo and then put on the listserv.
*Make sure that runs upstairs are done frequently
*If there is any folding of the yellow packets to do, please fold them.
*You can ALWAYS go upstairs and ask either Phee or any other advisor whether they have anything for you to do that you can do at the desk.
EVENT DEVELOPMENT
*Make sure that any posters are posted in the bulletin boards and any outdated posters are taken down.
*Please frequently check the caolead email address (password 7ecos7). Make sure to check if anyone has responded to any emails we have sent out and if we got any emails kicked back to us we NEED to contact them another way!!!
*If we get event tracking forms, make sure they are emailed to the group and entered into the excel speadsheet. Both the excel sheet and the template email are in the "shortcut to ECOs" folder on the desktop.
*Someone can go through the folders in the E.D. desk which have old event tracking forms in them and make sure they've all been entered into the tracking excel spreadsheet found in Shorcut to ECOs folder. If they aren't in that spreadsheet, please enter them.
*Please bring the paycheck boxes and clipboards upstairs and give them to Krista or Allen. They will need these soon to process this weeks paychecks.
*Please help the receptionist with any of their tasks!!!

Covering Shift For Next Friday
I work for PHENOM, the Public Higher Education Network of Massachusetts. We do lobbying work for free public higher education.
Next Friday we're hosting a state-wide summit at Framingham State College that I have to go to, so I need to miss work that day.
My shift is from 12:00PM - 2:30PM so if any of you would like to pick up those hours please just post it here! Thanks very much and see you all soon.
~Kyle Wood
Tuesday, Oct. 16

-The picture above is how I feel about how fast this semester is already going! Although, I don't really get the dentures comment :)
PLEASE follow the link below to a meeting schedule. Once there, please put your availability for a meeting NEXT WEEK! (Include the times you are working as an ECO too, we might need to schedule it when you are working). Please note the only valid excuses to miss are serious illness, family emergency, and class. Other RSO business needs to be rescheduled around the meeting time.
http://www.doodle.ch/dws7mvkfi5rv943e
-I am going to be coming in at different times than you might be used to, so it is really important that you ALL are self-starters. You have worked here long enough to know the daily tasks that need to be done and you should be doing those when there is no supervision. After those tasks have been completed, you will be allowed to do other things, but not until they are done!
These tasks include: Filing, data entry of activation forms, runs upstairs, bulletin board, checking and responding to emails/voicemails, putting mail away, logging packages, contacting RSOs about packages, organizing the space, etc., etc., etc...
Kyle- Please finish folding/stapling the yellow packets. When you are done that, please bring any forms upstairs that need to be taken up.
Lawrence- Please do event development when you are here today. I would like you to first and foremost update the bulletin boards downstairs. There are quite a few flyers that need to be posted. In addition, spend a good chunk of time looking at what is posted and make sure there isn't anything that is outdated. Also, please put away the mail into the mailboxes today.
Lizzette- I have you working reception for your whole shift. Please finish pulling any SR cards if Djade didn't finish. Then, please go through the outdated SR cards and erase that SR person from their group (**ONLY IF FROZEN**) and double check to make sure the SR box is checked or not in the requirements section. IF you do not finish this today, please make sure you do it again tomorrow! THANKS!
Jamie- Please make sure that any events that are happening within 4 weeks have come in for event development or met with their advisor. If they haven't, please contact them again to make sure they do so!
Monday, October 15, 2007
Monday, 10/15
Lawrence- Please work E.D. from 11-2. Please work on finishing the event development manual and put away the mail in the mailboxes. If you have time before 2, we have new event tracking contacts that we need to email about their events and making an appt for their advisor or eco. At 2, please work reception when Danielle is upstairs. Please work hard on folding the event manual (yellow/white forms). Jamie will be coming in at 3 to take over.
Jamie- Please work reception for your shift. If there is filing to be done, please do so, as well as entering any activation cards into the system. In addition, please try to get rid of the packages in our space, try contacting the offices.
event planning manual
It is located on the event consulting desk and I have asked the first person who sits there to put the step by step instructions I created in the front of the manual. I would like you all to read the whole thing so you are familiar with it, and then use it as a reference every time you do an event.
thanks, Phee

TGIF!
Lizzette- From 11-12 you are working the E.D. desk. I really need you do the bulletin boards and take the box of clothes to the lost and found in the campus center. From 12-3, please work reception. Please check email/voicemail, sign up anyone new for treasurer workshops, do filing, and enter any SR cards/anti-hazing/information forms into the computer.
Kyle- From 12-3 I have you on event development. I want you to work on the SR Listserv thing I wanted you to do yesterday. Here are the instructions:
Here's the web address to the sr-l list serve: http://list.umass.edu/mailman/admin/sr-l/logout
The password is umass07. If you can't figure out how to add and remove names and
addresses, let Phee know and she will come down. Make sure you intial the box at the bottom where it says "SR listserv" on the SR cards.
Also, if you have time leftover, could you go through AllInfo and look at the groups that are frozen and check their requirements. If their requirements are all checked off and they are not unfrozen, could you please change that! You will need to sign in as operator1 and the password is goodday. Thanks.
Lawrence- Please work reception for the shift you are covering this afternoon. I really need you to make sure that all emails/voicemails have been responded to before you leave. In addition, every form in the bin to go upstairs MUST be taken up at the end of the day. Do not forget to put the Paycheck boxes and clipboards in the closet (Locked) when you leave.
Elyse- Please work event development. If there are any SR cards to be put into listserv please do that. In addition, please make sure that all runs are done at the end of the day. Thanks!

RSO Treasurer Meeting
Allen Brainerd, the Director of Finance and Business Services, is hosting a RSO Treasurer Training Workshop on three different dates in Oct. and Nov. To sign up, treasurers will be emailing our csd@stuaf.umass.edu email address!
EVERY DAY we need to check this email and sign up anyone that signs up for those sessions. The sign up sheets are on the reception desk. Treasurers can sign up in person as well!
**Please note that there is a maximum capacity of 20 people per workshop. There is a sign up sheet for treasurers who are interested in going to a session, but can't make it because either the dates don't work with their schedule or the session was full!
2 more days...
- Thanks for all your hard work so far this week. Thanks to Djade and Kyle's heavy lifting, the conference room is almost functional!! Thanks guys! I am working to determine a date and time for our staff meeting and I'll let you know. Next week I am going to sit down with each of you and go over event development step-by-step. Hopefully as the semester rolls along we will have more people coming in to plan their events...after all, this is why we are all here!
Lizzette- You are alone this morning and I need you to cover reception. Please primarily work on data-entry with the SR cards, info sheets, and anti-hazing compliance forms. Also, could you please call Paula and ask her what she wants us to do with the box of magazines up here for her. If there is filing to be done, please do that too! I also want you to check both email addresses and voicemail and respond to them!
Djade- Thanks again for your work yesterday, the conference room looks AWESOME! For your shift, you are going to do reception. Similar to Lizzette's tasks, please work on any data-entry and filing. Depending on what Phee wants, I might have another data-entry task, but that will be determined later this morning.
Lawrence-Please do event development for your shift this afternoon. I will need you to first and foremost post and update the bulletin boards downstairs. Please take down any event flyer that is old and any cards that might have been slipped through the cracks. Please post any new flyers in the top hanging bin. Also, there is a box of clothes on the desk that is to take to lost and found at the Campus center info desk. Please bring it over today!
Kyle- I would like you to be our receptionist until 3:30 and then switch to event development. When you are doing event development, please work on adding the SR cards in the bottom hanging bin into the SR listserv. If there is not instructions on how to do that by the time you arrive, please ask Phee!
Jamie- I would like you to do event development for the first hour (2:30-3:30) and then reception until close. Please work on the task I assigned you the other day if you have time! Also, Allen told me that if we lock up the paychecks we can keep them down here! So, at the end of the day before you leave, lock up the paycheck boxes and clipboards in the closet where your mailboxes are. Tomorrow morning please remember to bring them back out! Finally, can you make sure that the pinkish/purple rug in the conference room is placed outside our door at the end of the day with a "TRASH" sign on it for facilities pick up!
Kyle and Jamie- Please make sure that all runs are brought upstairs before or when you close!!!

Staff Meeting
We need to schedule a staff meeting for next week!
Please post a comment with your availability from
Monday 10/15-Friday 10/19.
By the end of the week I will have put together a meeting time.
It is important that in this meeting we are all there.
And remember...only academics override your work commitments.
Any RSO business needs to be scheduled around the meeting.

Wednesday Tasks
- Please be aware that Rafi is no longer doing data entry upstairs, so we will be in charge on putting the activation information into the system. So, as anti-hazing, info sheets, and SR cards come in, please be sure to enter them into the system and file them afterwards.
Lizzette- You are on event development this morning. I need you to work on a task of data entry for Melissa. I will give you instructions in the morning and the papers are on the event development desk. Please try to work hard on getting that done ASAP!!!
RSO OIT accounts
We're having a bit of confusion about OIT accounts so I want to let you know what's going on so we can all try to be responsive to our customers and not give them a run around. All RSO accounts include e-mail and web pages, although not all RSOs use both. So if you get questions about one or the other, the answer is the same. They see me to create a new account or reset a password for an old account. The confusion comes in because all accounts are "owned" by Allen Brainerd. So if they talk to OIT they are told to see him. But they should really see me. So when anyone comes in to see someone about their OIT account they shold see me, even if they ask for Allen.
Thanks, Phee
Tuesday
I hope that everyone had a nice long weekend! I will be in before noon, but I wanted to give a heads up to the two coming in at 11 as to where they will be sitting.
Elyse and Jamie- Thanks for your work today!
Danielle- To start off, I would like you to sit at Event Development. Please take your break at 2pm. Please check the event development email and respond to anything that needs to be responded to. When Lawrence leaves, I will have you move to reception desk. If there is any filing to be done, please do so. Thanks!!
Lawrence- I would like you to work reception desk this afternoon. Please make sure to check and respond to emails and voicemails consistently and file any paperwork that is in the bin. Also, I put a task for you on the desk. It involves contacting Mari Vicente about service orgs. that will provide childcare. You will need to look up service orgs, possibly contact them, and then call her and give her the specifics on who they are, their contact info, etc. If you get that done in time, there is filing to be done (anti-hazing forms and info sheets). Thanks!!!
Jamie- Please work event development when you arrive.
I will assign tasks when I get in and assess projects to be done. However, feel free to be self-starters and if you see tasks to be done, please do them! (example: filing, runs upstairs, bulletin board, event tracking emails, voicemails, etc.)

Tasks From Erin
Here are a couple tasks from Erin for us ECOs to complete this Friday afternoon.
1) Putting up posters: Apparently there is a CSD board at the end of the hall downstairs that isn't encased in glass which currently contains some general CSD information but Erin needs YOU to go down there and CAREFULLY take down the items that are up there now (and save them!) and then put up the Homecoming posters which can be found in the hanging file folder where the posters are usually found.
2) There is a blue post-it note on the desk with the name Ranjana Devi, with her email address and a list of RSOs. She would like the contact info for all the RSOs on the list. Could one of YOU look up all the RSOs on the list and email her with that contact info.
Thank you from Erin and K$ and HAVE A GREAT WEEKEND!!!
~Kyle J Wood
Event Tracking Form
New & Improved Paycheck Distribution
There are now TWO boxes for checks. The gray box is for students being paid by the Center for Student Business. The black box is for people being paid from RSOs or the SGA. The checklist with their names are in the box, please make sure you check their ID and make sure that they sign for their check.
In addition to the two boxes, we also have paycheck bundles. There are two different types of check bundles.
The first set of bundles are loose and not attached to a clipboard. These bundles are checks that go out to the different agencies on campus. When someone comes up to pick up their check from their agency, they are actually going to be picking up ALL of the checks in the bundle. They cannot just pick up their own check. The checks are enveloped with two identical lists, with the names of the people who are receiving their checks. Have the person sign by their name and keep that page. Give the person the checks and the other checklist. Take the signed form and clip it to the light brown clipboard.
The other set of bundles are from additional agencies. They are attached to the darker brown clipboard. It works the same way with all other bundles, that when someone comes to pick up their check, they are actually going to be picking up checks for the entire agency. The only difference is that they will sign on the checklist attached to the clipboard, and then can receive their bundle.
Other tidbits:
On the checklist forms, if there are not a check mark next to a persons name they do not have a check with us. If this is the case you should refer them to either :
Laura Looman (413) 545-2684
or
Donna Beaurguard (413) 545-2300
Both of them handle specific checks, and there is a checklist as to which person does what.
Generally speaking Laura will handle the SGA and most area governments. While Donna will handle CSD & RSOs. The detailed list is on the desk.
It may sound a little confusing, but it's pretty simple once you are there to see it.
For this set of paychecks only:
If someone worked the SGA election and are looking for their check they will need to contact either Sasha Rogers or Jon Swengler of the SGA. They did not submit hours yet, so checks are not yet ready.
Friday, October 5th
- Always remember: When packages arrive, please don't mark them in and leave them on the table or around the reception desk UNLESS they are too big to fit in the closet! There are shelves in there for packages. We need to keep the area around the desk clean and free of boxes!

Odds and ends
- Since Dan Saunders only works 20 hrs/week, please make sure that when you make appts for him they are in 1/2 hour increments. This way, more students get to see him!
- When doing Agreement for Services (AFS), ALWAYS spell check your document before sending them on their way!!!!
- SASP card purchase requests must have the buyer and their ID number in the description section!!! The person doing the shopping CANNOT be the same person who fills out the SASP card request!!!!!!!!!
- Anyone can make an appt for an advisor or acct. specialist over the phone. Appts. do NOT need to be made in person. However, for SASP cards the appts. will need to be in person.
- Please do not regularly empty the trash or sent folders in the csd@stuaf.umass.edu email address. Occasionally, I will need to search for something sent or thrown away to clarify if we responded or not and I can't do this if it is gone forever! Thanks.
Tasks- Thursday, Oct. 4th
Djade- Please do reception for your shift as well. Could you please also send me a bio for you so I can finish the ECO staff board!! (Also, please post your initials on every blog post :) )
Kyle- Please work as receptionist this afternoon. When Jamie comes in, I will have you go to event development. When you are event development person, unless there are AFS to do, I want you to post anything and clean up the bulletin boards downstairs. Also, make any runs upstairs before the end of the day. I will have a nice fun task for you to do when you are done with that. Just you wait...:)
Jamie- Please do reception when you arrive today. I will give you tasks as they come up!

odds & ends
If a group wants to purchase from WB Mason it should be treated just like any SASP card purchase. But they should make a list of what they want to buy and go to WB's website (whobut.wbmason.com) to look up the product codes to bring to the meeting with the account specialist. The prices won't be accurate, but they will get prices (lower than the listed ones) at the meeting.
POs are taking longer than in the past because of staffing issues in procurement - sometimes as long as two weeks, depending on the type of PO it is. Increases are particularly problematic, so please warn students.
There are some changes in car rental procedures, so if a group is renting a vehicle they need to make an appointment with January (who handles all travel related expenses). But they should call the rental company for a quote first.
When checking POs please look for detail in the description part of the purchase request especially for SASP cards. "stuff for an event" is not adequate. Also make sure the group is not frozen and that the speed type and fund type match up (i.e. if they circle revenue the speed type they wrote is actually the revenue one).
Okay, enough or you won't have time to do the things I just posted about. Have a nice day.

Thanks, Phee
Wednesday, October 3rd
Please, please, please, please post a comment on these posts every day you work. If you have not done so with any previous posts, I urge you to do so after reading this post. For some of you this may seem like beating a dead horse, but most of you still don't consistently post comments on this blog. Here are two scenarios how posting a comment will be beneficial to this office:
**These scenarios aren't specific to ANYONE in the office, just something I made up on the spot :)
Scenario 1: Joe Shmoe comes into work and looks at the blog briefly, but does not post a comment. Earlier that day, Joe's supervisor has posted tasks for him to do today on the blog. Joe doesn't do the tasks that day and his supervisor notices that a) he did not do the tasks assigned, b) there are no reasons why he didn't do the tasks, and c) he didn't read the blog. In the end, the office communication and work are both affected by this.
Scenario 2: Joe Shmoe comes into work and the first thing he does is read the blog. After reading the blog he takes 2 seconds to post a comment with his intials stating that he read it! The office is extremely busy and Joe has NO chance to get to his assigned tasks that day, BUT he makes sure to post on the blog to state that he was swamped and couldn't get them done and passes the instructions of his tasks to the next person in the office. Joe's supervisor looks on the blog and a) sees that he read the blog and b) appreciates his letting her know why his tasks aren't done. This scenario shows that simple communication can make a big difference in the office. It's not all about getting the tasks done, but communicating with the other ECOs and supervisor!!!
Lizzette- Event Dvpt desk. Please try to complete the filing of Info sheets and anti-hazing forms. That is your main goal this morning!!! If you get done those, file the SR cards as well. If you get done all of that, please do the bulletin boards downstairs.
Elyse- Reception. Answer and respond to voicemails/emails. If it is miserably slow please help Lizzette file. When you come back at 3:30 I would like you to do reception and work on the task I asked you to do earlier! Thanks!
Djade- From 12:30-2:30 please do event development. If there is no actual E.D. to do, please help Danielle with the task that I assigned her to do (see above). At 1, please cover the reception desk for 15 minutes when she takes her break.
IF YOU RUN OUT OF THINGS TO DO, this was for lawrence and since he is sick these things will still need to be done! Please tidy up the bulletin board outside our door. I want you to go through the papers and make sure there isn't anything on there that is outdated. Also, please look on both desks and take care of any loose papers that have notes on them. If you find a note, please make sure that it is taken care of (person contacted, question answered, etc) before throwing it away. The papers in the bin on the E.D. desk need to be filed away. Please work on filing them in a folder (you might need to make new ones). Thanks!

e-mails about event advisors
I left a note on the event consulting desk, but I'm posting her to make sure everyone sees it. When you send the e-mail to groups to tell them that their event advisor is one of the upstairs crew (Erin, Lloyd, Shaun, Dan or me) please copy us on the e-mail so we'll know when it went out (and serve as a reminder to us).
Whoever reads this first, could you please create an address book in your e-mail that includes us? (unless it's already done - which wouldn't surprise me)
Your e-mail is caolead@stuaf.umass.edu password is 7eco7
Our e-mails are

AllInfo Task: Jamie and Lizzette
I have assigned you a task to try to complete today. However, it will be difficult to complete if the activation forms have not been filed. If it is not completed today, Lizzette please complete it tomorrow morning when you work!
The task assigned is to determine if we have RSO activation forms (anti hazing and information sheets) filed that we don't have entered into the system. The easiest way to complete this task is as follows:
- Go onto AllInfo and click on Requirements
- Click on view requirement definitions
- Click on Hazing policy acceptance and click on the tab "statistics"
- Press View Groups
- On the top right corner, put the "show only": Pending
- Print the list
- Do the same process for "Information Sheet" requirement and print the pending RSOs
- Go through the two lists and check their folder in the black filing cabinet to make sure that their pending status is correct.
- If they have no requirement form in their folder, put a check mark next to the name of the RSO, to show that the AllInfo information is correct.
- If they DO have the sheet in their file, highlight the RSO name so we can make sure it is entered into the system.
- When the task of checking their files has been completed, please take the highlighted RSOs and correct their information on AllInfo.
Tuesday, October 2nd
I hope that you all had fun weekends and are having a good week so far! Some things to keep in mind as you work this week:
- When packages arrive, make sure you find out who they are for before signing for them. If they are for Barbara the delivery person should bring them directly upstairs.
- Please look at the posts about RSO frozen status and filing their activation papers. We will be dealing with this a lot this week.
- Please post your initials after reading these posts so I know you are reading them!
Elyse- Please do reception this morning. I want you to respond to emails/voicemails and file anti-hazing and information forms in the bin.
Djade- Please do reception for your shift this afternoon. Work on filing the anti-hazing and information forms into their folders in the filing cabinet. Thanks!
Lizzette- From 1:30-3:30 please do reception. Work on filing, responding to emails, contacting people about the packages we have for them, etc. From3:30-Close please be our event dvpt person. If there are any event tracking forms that we need to contact the RSO for, please do so. Also, tidy up the bulletin board outside our door and tidy up the bulletin boards downstairs, remove any past-due event flyers and post anything that we have. Do any runs that need to be done by the end of the day! Thanks!
Jamie- From 2:30-3:30 please do event development. I want you to do any mail that needs to be sorted into mailboxes and go through any random papers/notes over both desks and figure out if we need them or not. Correspond with the person if need be, I don't want any more random papers!!!
From 3:30-5 please do reception. Before the end of the day make sure the filing is done (if it can be completed by then) and all emails/voicemails have been responded to. Try to get rid of the packages in the reception area if you can!
- Lizzette and Jamie: I will leave you both a task to work on if it is slow and you have finished filing anti-hazing and information forms. I will leave instructions in another post!
