Making Appointments

There have been some problems with too many SASP appointments for the same day, or appointments being made at the same time. I think this is mostly due to the fact that we don't refresh google calendar enough. But to help solve this problem I talked to Becca about adding a new appointment making rule- when you inital the appointments write the time and date that the appointment was made. In addition don't forget to add the person who going to the appointments name/ phone/ email some of that information has been missing lately.

Scheduling First Week Interviews

People will be coming and calling to schedule their First Week interviews.

Set up the meeting on Gregg Murray's schedule just with their full name and "first week interview" in the description.

They should be scheduled between 5/12 and 5/16, 9am-2pm, in 1/2 hour intervals.

If the interview also fits in Shaun schedule, add it to his calendar as well.

CSD Paychecks

Just a note to let everyone know that the CSD Student paychecks (the ones in the front of the black box) have been mailed out. Allen informed me that they are looking to to mail those out quickly if they have yet to pick up their check.

New scheduling coordinator

Hi lovely ECOs
I am happy to announce that you will be having a new staff person join you in the Resource Center on Monday at 10:30 Her name is Melinda Nielsen and she will be taking over Barbara's responsibilities as scheduling coordinator. (Barbara will continue as Byron's - full time - administrative assistant). Melinda will spend her first few weeks getting oriented and learning all about us, so Barbara will continue as scheduling coordinator until she and I feel Melinda is ready to take on that role. (we'll let you know when to change appointments) In addition to that, Melinda will be another staff presence in the Resource Center and support to all of you. So I will be asking her to spend time with each of you getting to know you and your job. Becca will, of course, help train her in customer service.

Please make her welcome and introduce yourselves if you see her before I have a chance to do that.

SASP Appts.

On Friday, April 4th we had some issues with SASP appointments made for Account specialists. For that day, January had 5 SASP appointments, Ophelia had 3 and Krista had 1.
I know that you may know this, but because this has happened I need to refresh your memories on SASP procedures.

1. Each Account Specialist has 3 cards each. You cannot make an appointment for a SASP card if they already have 3 cards out.

2. Krista does not do SASP appointments. Only Kamran, Ophelia, and January do SASP appts and have SASP cards.

3. Try not to make SASP appts. before noon. If you have to, check how many SASP cards were taken out with that accounting specialist the day before. If that accounting specialist has all three cards out, then a morning appt can not be made. However, if that accounting specialist had 2 or less out the day before, a morning appt. can be made.

4. Each and Every SASP appt. MUST MUST MUST be initialed.

If you have questions, please let me know. This could just be a random fluke, but we all need to pay really close attention to the appointments we make.

Payroll for Friday

Dear lovely ECOs,

As some of you may know, I will be out of the office from Thursday, April 3rd and Friday, April 4th for an interview in Savannah, GA. In my absence, I need to ask you all to fill out your hours before Friday morning. I have signed my name at the bottom, so I trust that you will be honest and accurate with your hours :) Also, if you don't fill in your hours, I cannot be there to fill them in for you and sign for you, so you will NOT get paid for this week if you do not do this!

Elyse- On Friday A.M. before you leave at 12:30 I need you to send Donna Beauregard the Payroll form. All I need you to do is this:

-Fax the completed payroll form on Friday to 51838.
-After you fax , please make a copy of the form and place on my desk
-On the original form, please write "Faxed on (date) and (time)"
-Place in the campus mailer on the front desk and put in Whitmore bin.

Welcome back

WELCOME BACK!

I hope you all are nice and well-rested for the rest of the semester. While you were away, things here piled up. So please, when you work on Monday and Tuesday, try to finish these tasks.
(Unfortunately for Jamie and Danielle, these tasks will probably be finished by you, but I really really appreciate it!)
  • File P.O.s and other materials in the bin
  • Put away mail that is in the bin (should be done before noon, if possible)
  • Contact ALL groups that have packages (in the closet and on the floor. They are all logged in). Tell them to pick them up!  I'd really like to clear out some space!
  • Check email/respond
  • Post posters and take down old materials

The 2008 Sammies Are Here!!!On Friday, March 14th, RSOs will be turning in their Sammies Applications! For those who are working, expect to be receiving these and putting them in the box behind the reception desk.
  • We are accepting applications from 9am-5pm.
  • Make sure to ask the person turning in the app. to double check that all materials are included in the application.

One more thing about packages...

Everytime that WB Mason, UPS, FedEx, or any other person comes in to drop off pacakges, we MUST MUST MUST check to make sure that they are actually for the office.

This will mean that you will have ask them to wait to make sure that they are for us. Check the purchase slip. If you are unsure of who it is for, ask!

  • Anything that is addressed to 416 student union (barbara) can NOT be dropped off to us. Make sure that they bring it up to 416!!!

Anything for Goodell, campus center, or any other building is not to be given to us. WB Mason, especially has the habit of dropping stuff off to us that isn't ours. Please double-check or else it will be your responsibility to bring it to them!

PACKAGES

Please write on the package with a marker the same name you logged it in as in the book, it makes it easier to find when a student gives us a slip. THANKS.

Contacting Performance Groups

Hi everyone! Becca asked us to do something for her while she's away! During Family Weekend there is going to be an Open Mic type performance and she needs student performance groups to come and perform. She has attempted to e-mail them and hasn't gotten a response, so if you could go into All-Info and try calling them that should hopefully work out better and get more of a response. A little spiel for you to use is listed below:

Good Morning/Afternoon, this is (name) calling from the Center for Student Development. We are preparing for Family Weekend 2008 and are looking for talented students to perform for the UMass Amherst Live Show on Saturday, April 12th at 4pm. The UMass AMherst Live show is an opportunity for families of current students to experience what performance art opportunities are available at Umass and to relax and enjoy some music/comedy/dance/theater during their stay at UMass.

If you are talking to a person live try to get their group to sign up, if possible. If you are leaving a voicemail let them know that:

- PLEASE review the paycheck procedures through the Distribute Paychecks tab on the right-hand side of the blog under Daily Tasks.

- Make sure staff members sign on the staff list when they pick up their check.

- If someone is signing out a bundle; they are to sign one sheet which we keep and they are to take the other copy.

- The Collegian no longer has a bundle, students will pick them up individually under the CSB.

Reminder of House Rules

Hey everyone,
I know that this semester is crazy, but I would really like to have a staff training before the month is over. Until then, I would like to remind all you lovely people on some "house rules" to follow. You all are doing an amazing job, so please don't think that this means you're not :)


  • Friends. Friends will see you working in here and it is okay to have them come in and say hi. However, it is not acceptable for friends to be in the way of our customer service. Please, if your friends come in and it is busy, make sure that they are out of the way and NEVER behind the desks.
  • Despite some of the leniency of last semester, I am going to be a bit more strict with some rules. Please do not use your cell phone in this office. If you need to call or take a call, please step outside to do so. Texting is okay if there are absolutely no customers around!
  • Homework is acceptable to do in the office, so is surfing the web, etc. However, please make sure that you do that AFTER you have made sure that there are absolutely no tasks left in the office. So, be sure to file, maintain bulletin boards, email event tracking forms, enter SR cards, check and respond to emails, etc., etc., etc., before anything else!

One more thing, Byron has asked that the bulletin boards are maintained better. I want us to check them for random flyers pushed through the cracks TWICE a day if possible (in morning and in afternoon). This will allow us to keep them better maintained. If you notice that the same groups are putting flyers through the cracks, please let me know.

You all are so awesome and thanks for starting off this semester really great!!!

Missing Package for CD & C

Google Calendar

The business staff are now using Google Calendar as well. Please start making their appointments on Google instead of Groupwise. Kameran and Barbara are still using Groupwise for now, but will be switching over to Google Calendar soon.

ECO STAFF MEETING

I need to schedule an ECO staff meeting. Please follow the link below and put in your available hours from this Friday to next Thursday. Once I receive the responses I will let you know when our meeting is.

**If you list times that are available, I will assume that you are available those hours. Please do not change your schedule without contacting me as it might affect whether you can come to the meeting or not!

A couple of things...

A couple of things to keep in mind:

-Tasks are hard to complete when it's busy in this office and it is important to let the next ECO know so that they can finish them. If you have unfinished tasks, please post a new post on the blog so that it is easy for other ECOs to see. You can title the post as "unfinished tasks" with the date. If the task is difficult and not a normal ECO task, please take the time to explain the process of the task so that it can be done again.

-You do not need to post comments on the blog anymore. I trust that you all are reading the blog or checking it daily to see any new posts. If I find that tasks are not being done or information is not being passed along, I might change this decision.

-Finally, we are changing our event development system!!! Event development is going to be done by APPOINTMENT ONLY starting on Monday, February 11th!!!
  • When sending out Event Tracking notices, you need to change the message to signify that we are not walk-in basis anymore, but by appt. only!
  • On google calendar, you will see a box for "Event Development" (Green), which is open for schedules from 9-5.
  • We will be making appts for ECO event development through phone and in-person appts.
  • Unless an emergency or if the office is slow with 2 people on, we can take same-day last minute appts. Otherwise, we will make appts. for us as we do for Advisors and other staff members.
  • If an RSO wants to make an appt for a specific ECO, you will have to give them their hours of availability on the work schedule and then schedule the appt. accordingly.
  • Avoid appts. in hours that there is only one ECO working, but if you need to make an appt. for that time, check with the an advisor or me first.
  • EVERY DAY you should be checking the schedule and preparing for any event development appts. that are coming in.
  • When making the appt., you need the Name of the person coming in, the RSO, a phone number, and the event name/number. From this we can determine how long to make the appt. (whether 1/2 hour or hour).

This system should hopefully work better for us in the Resource Room and also be a better system for the RSOs as well. This will start on Monday, February 11th. For the first couple weeks, people might still do walk-in appts. and we can take them if possible. However, STRESS that in the future they must make pre-scheduled appointments.

Housekeeping Stuff

Just some things to remember in the beginning of the semester:

1) When you close please remember to turn the voicemail on, and to bring any PR/POs, forms, etc. upstairs.
2) If you're eating food in the office, and trash has already been picked up please throw away your food items in the main trash in the student union, or maybe we should always do that. Stuff that sits here overnight creates a funky smell in the morning.
3) Put payroll checks back in the closet at the end of the day, they simply should not be left out in the open like that.
4) Try to tidy up the desk if you get the chance, and that both out end of the desk, and the customer's higher part.
5) Try to check e-mail at least once during your shift, and whoever is closing should try to respond to the rest of the e-mails by the end of the shift (on both accounts).
6) Initial the appointments you make.

RSO computers (in the back)

Hi guys,
I've ordered toner and paper for the RSO printers. They should arrive tomorrow from WB Mason addressed to ECOs. Please accept it and if anyone is comfortable with it, replace the toner in the two printers. I'd like to keep the paper separate from the paper you guys use, but don't just put it in the back where people can take as much as they want. Find a place for it and label it for the printers. From now on, if you're not doing it yet, please check the printers each day to make sure they have paper in them.

Could someone also please make a sign to post on the wall where the computers are to say that if there is a problem with computers or printers to see an ECO. You guys can take care of it or refer them to me or Rebecca.

Unlock both doors!

For some crazy reason Jennifer Eastman-Lawrence was a stickler for only unlocking one of the doors to the resource room. After careful thought and consideration Phee & I thought it best to begin unlocking both of the doors. As much joy as I got from seeing people struggle with the lock door, it's probably for the best.

1. please remove these two people right away. The first has asked 3 times, but somehow he's been overlooked.

Sammies Awards

Hello ECOs,
Here is a new task for you all that is ongoing until March. As you may have seen, we have a poster set up on the side desk for the 2008 Sammies Awards. The Sammies are given to outstanding RSOs and individuals who have exceeded in their dedication to their organization and to the campus community. Applications can be completed online at www.umass.edu/csd/rso/awards or applicants can pick up hard copies in the resource room. Please take a look at these applications and the website so you know that supplemental forms go with each application.
  • Your responsibility, as far as the Sammies go, is to direct students that come in to the poster and application set up. They can pick up hard copies of the applications in those folders. Encourage RSOs or individuals that you know to apply, some of the awards have monetary perks! Also, forward them to the website: www.umass.edu/csd/rso/awards if they have more questions.

  • The second and more important responsibility that you have is to collect applications once they are handed in. All applications are going to be turned into the front desk and there will be a box for them on the desk next to the printer. Please check their application to make sure that they have turned in all the correct and completed supplemental forms. If you have questions about that, ask me or Jordan!

There is a new appointment system for the CSD advisors. Please read the instructions below and get to know the new system.

**Note that the Business staff are still on GroupWise. Appts. for SASP cards, etc. should be made on Groupwise.



  1. Go to www.google.com/calendar
  2. Sign in: Email- csd@stuaf.umass.edu Password: umass2007
  3. This should bring you to the calendar view for the advisors.
  4. On the left hand side, Erin, Gregg, Lloyd, Phee, and Shaun are listed. To view their calendars, click on the box next to their name.
  5. To make an appt., just double click on the time box under the correct date and add in the information. (Name, RSO, Phone #, Purpose, Initials)
  6. To change times or other options, just click "edit event details".
  7. If you want to view by day, week, or month, you can click at the top of the screen to view the different options.

I hope that you all had a nice January and are ready to get back to the grind. Here are a few things to keep in mind as we start our new semester together.

  • The schedule you have for this week is temporary. Starting next monday, February 4th, you will all be working with new schedules (I will email today at noon)

  • Dan Saunders is no longer the club sports advisor. The new advisor is Gregg Murray. Please introduce yourself to him when you see him around! He is NOT on groupwise yet, so if people try to make appts. with him, be sure to call him to figure out his schedule or have the student contact him directly.

  • The advisors and I will be doing a mandatory training within the next couple weeks, so please keep this in mind.

  • Please be sure to do your work when you are here, there is time for internet-searching when your work is done. No cell phone calls at any time, texting is okay ONLY when there are no customers in the room. BE ON TIME!!!! Call in advance if you are sick, but only if you have tried calling other ECOs to cover your shift first.

Let's begin this semester right and make a great transition into the spring.
