Reminder of House Rules

Hey everyone,
I know that this semester is crazy, but I would really like to have a staff training before the month is over. Until then, I would like to remind all you lovely people on some "house rules" to follow. You all are doing an amazing job, so please don't think that this means you're not :)


  • Friends. Friends will see you working in here and it is okay to have them come in and say hi. However, it is not acceptable for friends to be in the way of our customer service. Please, if your friends come in and it is busy, make sure that they are out of the way and NEVER behind the desks.
  • Despite some of the leniency of last semester, I am going to be a bit more strict with some rules. Please do not use your cell phone in this office. If you need to call or take a call, please step outside to do so. Texting is okay if there are absolutely no customers around!
  • Homework is acceptable to do in the office, so is surfing the web, etc. However, please make sure that you do that AFTER you have made sure that there are absolutely no tasks left in the office. So, be sure to file, maintain bulletin boards, email event tracking forms, enter SR cards, check and respond to emails, etc., etc., etc., before anything else!

One more thing, Byron has asked that the bulletin boards are maintained better. I want us to check them for random flyers pushed through the cracks TWICE a day if possible (in morning and in afternoon). This will allow us to keep them better maintained. If you notice that the same groups are putting flyers through the cracks, please let me know.

You all are so awesome and thanks for starting off this semester really great!!!

Covering Kyle's Monday Shift

I was wondering if anybody wanted to pick up my hours on Monday. I would like to attend something for my First-Year students which is at 4, but I am working 2-5. If anybody wants that last hour, or all those hours, please take them!

Missing Package for CD & C

Hi Everyone,
We are looking for a missing package for CD&C. Has anyone seen it? Vanessa signed it in but we can't find it anywhere. CD&C will probably explode unless we find this package soon. And since they are like right next to us there will probably be some structural damage to our workspace so we should probably get on this.

Also, we will NOT be having a staff meeting this week because of some scheduling conflicts. I will let you know with ample notice time when we will meet (hopefully next week!)
ALSO- Be aware that Monday there is NO SCHOOL (YAY!)
Tuesday is going to be a monday schedule, therefore those that work tuesdays will not work their tuesday shift this week, sorry! For those Monday-ers, I'll see you Tuesday!

Google Calendar

The business staff are now using Google Calendar as well. Please start making their appointments on Google instead of Groupwise. Kameran and Barbara are still using Groupwise for now, but will be switching over to Google Calendar soon.

ECO STAFF MEETING

I need to schedule an ECO staff meeting. Please follow the link below and put in your available hours from this Friday to next Thursday. Once I receive the responses I will let you know when our meeting is.

**You can put availability on the times you are working here!
**If you list times that are available, I will assume that you are available those hours. Please do not change your schedule without contacting me as it might affect whether you can come to the meeting or not!

**If we meet on the weekend, we can go out for food!!!

A couple of things...

A couple of things to keep in mind:

-Tasks are hard to complete when it's busy in this office and it is important to let the next ECO know so that they can finish them. If you have unfinished tasks, please post a new post on the blog so that it is easy for other ECOs to see. You can title the post as "unfinished tasks" with the date. If the task is difficult and not a normal ECO task, please take the time to explain the process of the task so that it can be done again.

-You do not need to post comments on the blog anymore. I trust that you all are reading the blog or checking it daily to see any new posts. If I find that tasks are not being done or information is not being passed along, I might change this decision.

-Finally, we are changing our event development system!!! Event development is going to be done by APPOINTMENT ONLY starting on Monday, February 11th!!!
  • When sending out Event Tracking notices, you need to change the message to signify that we are not walk-in basis anymore, but by appt. only!
  • On google calendar, you will see a box for "Event Development" (Green), which is open for schedules from 9-5.
  • We will be making appts for ECO event development through phone and in-person appts.
  • Unless an emergency or if the office is slow with 2 people on, we can take same-day last minute appts. Otherwise, we will make appts. for us as we do for Advisors and other staff members.
  • If an RSO wants to make an appt for a specific ECO, you will have to give them their hours of availability on the work schedule and then schedule the appt. accordingly.
  • Avoid appts. in hours that there is only one ECO working, but if you need to make an appt. for that time, check with the an advisor or me first.
  • EVERY DAY you should be checking the schedule and preparing for any event development appts. that are coming in.
  • When making the appt., you need the Name of the person coming in, the RSO, a phone number, and the event name/number. From this we can determine how long to make the appt. (whether 1/2 hour or hour).

This system should hopefully work better for us in the Resource Room and also be a better system for the RSOs as well. This will start on Monday, February 11th. For the first couple weeks, people might still do walk-in appts. and we can take them if possible. However, STRESS that in the future they must make pre-scheduled appointments.

Housekeeping Stuff

Just some things to remember in the beginning of the semester:

1) When you close please remember to turn the voicemail on, and to bring any PR/POs, forms, etc. upstairs.
2) If you're eating food in the office, and trash has already been picked up please throw away your food items in the main trash in the student union, or maybe we should always do that. Stuff that sits here overnight creates a funky smell in the morning.
3) Put payroll checks back in the closet at the end of the day, they simply should not be left out in the open like that.
4) Try to tidy up the desk if you get the chance, and that both out end of the desk, and the customer's higher part.
5) Try to check e-mail at least once during your shift, and whoever is closing should try to respond to the rest of the e-mails by the end of the shift (on both accounts).
6) Initial the appointments you make.

RSO computers (in the back)

Hi guys,
I've ordered toner and paper for the RSO printers. They should arrive tomorrow from WB Mason addressed to ECOs. Please accept it and if anyone is comfortable with it, replace the toner in the two printers. I'd like to keep the paper separate from the paper you guys use, but don't just put it in the back where people can take as much as they want. Find a place for it and label it for the printers. From now on, if you're not doing it yet, please check the printers each day to make sure they have paper in them.

Could someone also please make a sign to post on the wall where the computers are to say that if there is a problem with computers or printers to see an ECO. You guys can take care of it or refer them to me or Rebecca.

Unlock both doors!

For some crazy reason Jennifer Eastman-Lawrence was a stickler for only unlocking one of the doors to the resource room. After careful thought and consideration Phee & I thought it best to begin unlocking both of the doors. As much joy as I got from seeing people struggle with the lock door, it's probably for the best.

I need a volunteer

Hi everyone,
I need a volunteer to put up some posters on the bulletin boards around campus. The posters are for senior portraits. I can't pay anyone, but if you're a senior and planning to have your pictures taken, the photography company will give you a discount on your package if you volunteer for this. Please let me know by tomorrow if you can do it, cause we don't have much time.
