Good morning all,
Here are tasks for you to do this morning and afternoon. Please make sure that you comment on your progress. Also, make sure you check your boxes and sign in and out of the computers when you arrive and leave! Today is also paycheck day, REMEMBER you must check IDs and make sure the person signing out their paycheck writes or signs their name legibly.

Jamie- From 9-11 you are our only receptionist. If it is slow, please file P.O's, check emails and respond to them, check voicemails regularly. From 11-12, when Lizzette arrives, I want you to move to the Event Devpt. desk and then please do any runs upstairs from the middle bin and then take care of the bulletin boards downstairs.

Lizzette- From 11-1, I want you to take over being receptionist. Please complete any SR cards and RSOOO information logging that needs to be done. From 1-3, please do event development. I should be in by then, so i will discuss more in depth what I want you to do.

Kyle-From 12-1 I want you to do event development, which will basically be signing out paychecks. If there were tasks there from yesterday, please finish them. Also, you will be in charge of creating a folder for each ECO and their event devpt. and filing them, as we talked about last night in the meeting. From 1-2:30 you will be receptionist. Please file P.Os, check email and voicemail. I will be in by then, so I might give you more tasks if it is slow.

Elyse- From 2:30-5, please be our paycheck person. Lizzette will explain this to you when get in and you will be handing out paychecks until closing. At the end of the day (5pm) You MUST bring all the paychecks upstairs and the signed forms and give them to Krista or another business member up there to be locked up!

Danielle- From 3-5 I want you to be the receptionist. Finish any filing tasks that will need to be done. Thanks.

Space heaters

As you all know, it can get very cold in the Resource Center. The heat will NOT be turned on in the building until oct. 22. Therefore, I have ordered and received space heaters. They will be located in the closet and please use them under your desk if you get cold!

requests from the staff upstairs

Hi everyone,

We had an office meeting this morning and I asked the staff if there are anythings that we can do to better support them. Here are a couple of things from them.



January said that some of you are confusing advisors and account specialists. The account specialists have had several appointments with people who thought they would be seeing their advisor. So here's a quick explanation of our roles:

Account specialists are Kamran, January and Ophelia. Their group assignements are on the RSO list and in AllInfo. Groups see them for a SASP card or with a question about the status of a PO or an invoice. (January also does some travel arrangements)

Event advisors are the advisor who is working with the group on a particular event (sometimes you guys). The name of the event advisor is in AllInfo on the event tab. Any event related concerns go to this advisor.

Group advsiors are the ones on the RSO list and in AllInfo on the overview tab. Groups see them about group issues - not necessarily related to an event. When someone says I want to see my advisor ask what about. If it's about an event make the appointment with the event advisor. Otherwise make it with the group advisor.



For SASP appointments: please only make SASP appointments after noon. That gives the people who had them the day before time to return them before they have to go out again. (I didn't know to tell you this before so you weren't told.) Also, there is only one card that allows purchases over $500 at the same store. So when they bring the purchase request to you to make the appointment look at the amount they are spending. If it is over $500 ask them if they are spending that much at one store. If the answer is yes, the appointment must be made with Kamran and you should write in the subject line that it is card #6. Only one appointment per day for card #6. Please ask if this is not clear.



Finally, please make sure that the vendor name, address and vendor # are on the purchase request when you receive them. This is important because vendor are always being removed from the system so the vendors must be in the book on the self-help desk.

Individual tasks for Wednesday 9/19

Elyse- Please file anything in the top black bin (P.Os, etc) and if there are any event tracking forms, contact the org to set up appt. with their advisor.

Lizzette- Please manage the cases downstairs, there are new posters in the top bin.

Elyse and Lizzette- Respond to emails, check voicemail, and find out how we can give Maurianne her package through campus mail.

Danielle- If any more SR cards come it, it is going to be your responsibility to add them into the system. Constantly check the email, as groups will be contacting us after some bulk emails we sent out yesterday. In addition, please finish any filing that may have been placed in the bins after Elyse leaves.

Djade- Please show Phee the excel form that you created for RSO event development contacting. When she approves it, place it on the desktop and fill in the information from the Event Tracking forms you emailed yesterday and that Elyse emailed today. Also, please send me or leave me a short bio today!!!

**Please ask Phee if you have questions when I leave, but please make sure that ALL your tasks are done by the end of your shift. If you can not finish your task, make sure to post it and also inform the next person coming in of your progress so they can take up the task.

**There are always things to do when you finish your task, like checking voicemails, emails, tidying the backroom closet, contacting RSOs about packages that have been here forever, logging packages, filing, working on creating a list of RSO acronyms, stocking forms in the bins, bringing items in the hanging bin upstairs, cleaning bulletin boards throughout the day (groups put those little cards in the cracks regularly), manage SR cards, organize the conference room, stock handouts on the countertop, etc, etc, etc. Do not think that your daily tasks have been completed until you have touched upon the list above. I will be checking the progress of tasks tomorrow when I come into work.

-When you have finished a task or are leaving without it finished, please comment and say so in the post. This way, the person coming in after you knows where to start and I know how far you have progressed in your daily tasks!

To Do List (To be done by the end of Tuesday)

Good morning,
Those of you working Tuesday (Elyse, Kyle, Djade, Lawrence, Jamie, and Lizzette) need to make sure to finish these tasks before you leave. If you start a task and do not finish it, you NEED to inform the next person coming in of your progress and where you left off.

-On the counter there is a list of RSOs that have signed up or have gone to RSOOO. You need to email the RSOs that are not on the list and let them know that none of their officers have attended RSOOO or signed up for one. There are only two left and they need to do this to be active! (Check the new sign ups also before sending any emails, in case they recently signed up).

-SR cards. Danielle created a step-by-step sheet for processing SR cards. It is on the counter to the right of the computer. Please make sure to do SR cards if they are not done. Leave notes and discuss your progress with your co-workers as they come in. Today, I need to you to enter the SR cards into AllInfo.

-Call Maurianne Adams to pick up package. It has been here since May and needs to be picked up!!! She might be a little mean on the phone, but be strong and make it clear that we have been holding this package for her since May. We cannot deliver it, it needs to be picked up.

Bulletin Boards

Here is the procedure for keeping up the bulletin boards.

-They are located in the hallway connecting the student union to the campus center (at the end of the hallway is the barber shop).

-The key for the cases is in the top drawer of the reception desk on a white cloth key chain.

-Flyers and posters that need to be hung up will be in the top hanging bin on the wall, labeled flyers to be posted.

-You only need to put RSO flyers in the 5 or 6 cases closest to the barber. The two in the middle are for on campus departments not in this building, so please don't put the RSO ones in there.

-When you put up things, please clear out the other flyers that have either expired, or have been slipped behind the glass by students.

-Some departments may drop off their flyers to be put up. They go in the middle two cases using the same key.

-Updating the bulletin boards needs to be done every few days, when you have done this task you need to update your coworkers so they don't re-do it.

Odds and Ends

It's the beginning of a new week and I have lots of things to share with you. After reading and processing, please comment on this message with your initials.

-As some of you may have noticed, you have mailboxes in the closet behind your desk. Each box has a label with your name on it. As soon as you get to work you must check your box for contents. Occasionally, I may directly assign you a task to do and the task directions may be in your box. In addition, updated scheduled, meeting notices, etc. will be regularly added to your box!

-I have ordered nameplates for all of you. When they arrive I will place each of yours in your mailbox. It is important that when you work you have your nametag on the counter. This allows all of our customers to get to know you by name!

-When you arrive to work and there are packages waiting that have not been processed please process them asap! Don't leave packages waiting on the table, we do not know the urgency of the contents.

-There are always files in the bin waiting to be filed in the RSO files. If you have down time, please take care of those files.

-There are still a lot of appointments being made with no information in them! You NEED to follow procedures (Name-phone-RSO, detailed appt. info, and initials) in EVERY appointment made. Do not forget SASP appt. procedures! This is extremely important. Every appointment made needs to be concise and consistent.
